Job Description
This key position at Cuvée will be responsible for directly assisting the CEO & Founder of Cuvée with key projects and events. This entails working on a variety of projects and tasks with multiple stakeholders and this position is the link between the CEO and the Leadership team. In this role, the Executive Assistant to CEO will contribute to better organization and planning, and help the CEO and Leadership Team be more effective.
Reporting directly to the CEO, the person that fills this position will provide executive support in a one-on-one work setting to help the CEO operate more efficiently and take on coordination of the CEO’s many key projects and events, such as large national non-profit work and assist in coordination of Cuvee’s on once-in-a-lifetime galas surrounding some of the greatest events the world has to offer like the Ryder Cup in Paris and Rome, the Olympics, world class safaris, and St. Barth’s Regatta, to name a few. The Executive Assistant to CEO serves as the primary point of contact for internal and external constituencies on all of the matters the CEO is involved in and serves as a liaison to the Leadership Team; organizes and coordinates outreach and external relations efforts; and oversees all aspects of the CEO’s day-to-day activity. The Executive Assistant to CEO must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities surrounding the CEO’s day. The Executive Assistant to CEO will have the ability to work independently on projects and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The business at Cuvée is centered around luxury travel experiences and working outside of normal business hours is required. In addition, some travel will be required.
Job Responsibilities
Executive Support
- Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments; managing email communications; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Plans, coordinates, and ensures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time.
- Communicates directly, and on behalf of the CEO’s programmatic initiatives.
- Provides a bridge for smooth communication between the CEO’s and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
- Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping the CEO updated.
- Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO, some of which may have organizational impact.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
- Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Edits and completes first drafts for written communications to external stake holders.
Senior Management Liason
- Participates as an adjunct member of the Leadership Team including assisting in scheduling meetings, attending meetings, taking notes and following up on action items.
- Manage the Management System with Leadership team for effective weekly 1×1 agenda.
- Develop and manage process of Leadership Team reporting their Target Results for week, month, and quarter.
- Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings
- Facilitates cross-divisional coordination of travel and outreach plans

- Manage conflicting priorities, the EA must balance those duties to make sure key projects meet deadlines.
- Because technology changes constantly, EA must be comfortable adapting to new equipment, software, and APPs. Troubleshooting equipment and technology issues is required in this role.
Requirements
- Bachelor’s degree required
- Strong work tenure as an event manager.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms, iPhones, iPads, APPs, etc.
Compensation
Compensation: Total Compensation (base + bonus) commensurate with experience – $80,000 to $120,000. Position includes extensive benefits including Stock Options, 401(k) matching, health, dental, vision, and so much more.
